Crew Portal Privacy Policy
XTRA Crew LLC (“XTRA,” “CrewPODS,” “Company,” “we,” “our,” or “us”) respects your privacy and is committed to protecting the personal information you provide through our company's Crew Portal.

This Privacy Policy explains how we collect, use, store, disclose, and protect your information when you visit our website, use our resources, apply for opportunities, join our talent network, or otherwise interact with us. By accessing our Crew Portal or providing information to us, you agree to the practices described in this Privacy Policy.

Why we hold it, and who can see it
We use this system to help you manage your communication with XTRA and stay up to date with your engagement details: to pay you, to keep the time records the law requires us to keep, to record training and safety, to know who is qualified for what, and to reach you about work.

Who can see what.
-
You see everything in your own record.
-
XTRA administrators — a small named group — see crew records in order to run payroll, review time, grade training and record authorizations.
-
Your Lead sees your shift information for a job you are both on, while that job is open.
-
Nobody else. Crew cannot see each other's records. We do not sell your information, we do not use it for advertising, and we do not pass it to clients or to Exhibit Appointed Contractors beyond what a specific job requires.
Every administrator action is written to a change log, including exports. If someone takes crew data out of the system, there is a record of who did it and when.

Text messages
XTRA sends two different kinds of text message, and they are governed separately.
-
Sign-in codes. You ask for these yourself every time you sign in. They carry no marketing and you cannot opt out of them while you use the Portal, because they are how the Portal knows it is you.
-
Schedule and availability messages — for example, asking whether you are free for a date, or confirming a call time. We send these only if you have agreed to receive them. You give that agreement in the Portal, you can withdraw it at any time in the Portal, and you can stop the messages by replying STOP to any one of them.
Withdrawing agreement to schedule messages does not stop your sign-in codes, and it does not affect your engagement with XTRA — but it does mean we will reach you by phone or email instead, which is slower. Message and data rates may apply, depending on your mobile plan. We do not charge for these messages.
Who processes it for us
-
Lovable, which hosts the Portal and its database, in the United States.
-
Twilio, which delivers the text messages, in the United States.
Both act on XTRA's instructions and for no purpose of their own. Your information is held in the United States.
How long, how it is protected, and your choices
How long we keep it. While you are engaged by XTRA, and afterwards for as long as we are required to keep the record. Time and pay records, training records and safety records each have their own required period, and they outlast your engagement. Practice-form answers and sign-in logs are working data and are kept for a much shorter time. [Counsel to set the actual periods.]
How it is protected.
-
There is no password to steal. You sign in with a one-time code sent to your mobile.
-
Who can read and change what is enforced by the database itself, not only by the screens. A crew member cannot read another crew member's record even if they go looking.
-
You cannot score your own training, and you cannot grant yourself an authorization. The database refuses both.
-
Practice forms are locked as practice at the database level, so no practice entry can be mistaken for a filed report.
-
Every administrator action, including every export, is written to a change log.
-
Code requests are rate-limited, and your mobile number is stored in the sign-in log only in a one-way scrambled form.
Your choices. You can, at any time:
-
See everything in your own record, in the Portal.
-
Correct your own details, and ask for a correction to a time record through the correction process in CrewTime.
-
Ask for a copy of your record, or ask us to delete it. Write to hr@xtracrew.net. We will do what we can, but we cannot delete records we are required by law to keep, and we will tell you which those are.
-
Withdraw your agreement to schedule and availability texts, in the Portal or by replying STOP.
Age. The Crew Portal is not for use by anyone under 18.
Changes. If we change this policy we will post the new version here and, if the change is significant, tell you in the Portal. The date at the top is when it last changed.
