Crew Portal Terms & Conditions

Your account and how to use the Portal
These terms govern your use of the XTRA Crew Portal, operated by XTRA LLC of Las Vegas, Nevada. Using the Portal means you accept them.

Who may use it.

People XTRA has engaged as employees or as independent contractors, and XTRA staff. The Portal is not open to the public. Access is by invitation and can be withdrawn when your engagement ends.

Your account is your mobile number.

There is no password. Anyone holding your phone and able to read your texts can sign in as you, so:

  • Keep your phone locked and your number to yourself.

  • Never sign in on someone else's behalf, and never ask anyone to sign in as you. A time record signed by the wrong person is a payroll and legal problem, not a favour.

  • Tell the office on 702 751-9872 straight away if you lose your phone or change your number.

Using it properly.

When you use the Portal you agree to:

  • Record real times, counts and conditions. Never adjust a record to match a plan or a schedule.

  • Claim only positions you can actually do. Claiming a qualification you do not hold puts you, and the people working beside you, on a job you are not ready for.

  • Leave other people's records alone, and tell us if you can see something you should not be able to.

  • Use it for XTRA work only, and not to collect information about other crew.

Text messages.

Sign-in codes are sent whenever you ask to sign in. Schedule and availability texts are sent only if you have agreed to them in the Portal; you can withdraw that at any time there, or by replying STOP to any message. Message and data rates may apply.

Training, practice forms and what they do not mean.
Practice forms report nothing to anyone. The TR forms in the training modules are exercises. Filling one in does not tell XTRA anything, does not reach a supervisor, and does not create a record anyone will act on. Every one of them says so at the top, and the system marks them as practice whatever a screen might suggest.

A real incident is reported by the real route, never by a practice form:

  1. If someone is hurt and it is serious, call 911 first.

  2. Tell your Pod Lead, and call the 24/7 Crew Line on 702 751-9872, the same day.

  3. Email hr@xtracrew.net within 24 hours.

Finishing the training does not authorize you to do anything.

Operating a lift, a forklift, electrical work, rigging — each of those needs a written authorization from the Business Office, recorded separately in the Portal, with an issuer and an expiry date. A completed module is a record that you were taught something. It is not permission.

Finishing the training is not a CrewIQ score.

CrewIQ is a separate assessment.

Training progress in the Portal does not feed it, raise it or stand in for it. An approved position is not an authorization either. It records that XTRA agrees you are qualified for a kind of work. It does not clear you for a specific piece of equipment, a specific venue, or a specific show.

Your written answers are read by a person.

The questionnaire and the final scenario are partly scored by hand. Your answers, your score, and the name of whoever scored them are kept in your training record.

Time records.

The times you sign in and out are the basis of your pay and of XTRA's legal timekeeping. They must be true. If a record is wrong, use the correction process in CrewTime rather than adjusting anything after the fact; a correction keeps both the original and the change, with who asked and who decided.

Location at sign-in.

CrewTime records where you are at the moment you sign in and the moment you sign out. If you are not willing to have that recorded, tell your Lead and sign in another way — do not sign in somewhere else and claim the job.

Using the Portal does not change your engagement.

If you are engaged as an independent contractor, nothing here makes you an employee, and nothing here changes your agreement with XTRA. If you are an employee, your handbook governs. Where this document and your handbook or contractor agreement disagree, that agreement wins and you should tell us about the conflict.

The Portal may be unavailable.

It is software, and it will sometimes be down, slow, or unreachable on a venue network. It is never the only way to reach XTRA. The 24/7 Crew Line on 702 751-9872 works when the Portal does not, and a safety matter never waits for an app.

We may change the Portal and these terms.

We will post changes here and, where they matter, tell you in the Portal.

Ending access.

Your access ends when your engagement does. We keep the records we are required to keep; see the Privacy Policy.

Governing law.

The terms and conditions are governed by the laws of the State of Nevada and shall be within the jurisdiction of the State of Nevada.
